1. Who we are
This website (portrait.amazingyouth.gr) is operated by Amazing Youth (OID E10259864), Piraeus, Greece, the organisation that coordinates the Erasmus+ Youth Exchange “Make a portrait of tomorrow”. Amazing Youth is the controller of the personal data described below. Contact: maniatakos.d@amazingyouth.gr.
2. Application form
When you apply, we receive what you enter in the form: name, surname, date of birth, email, phone or WhatsApp number, country of residence, previous Erasmus+ participation, your level of English and your answers to the motivation questions.
We use these details only to select the participants of this Youth Exchange and to contact you about your application. Legal basis: your consent (Art. 6(1)(a) GDPR), which you give with the checkbox in the form and can withdraw at any time by writing to us.
The answers are saved in a Google Sheet (Google Workspace, Google Ireland Ltd). The partner organisation responsible for your country reviews the applications from that country and contacts the selected applicants. Applications that are not selected are deleted at the latest 6 months after the end of the Youth Exchange. For selected participants, the details needed for the project are kept as part of the Erasmus+ project documentation for as long as the grant agreement requires.
3. Visitor statistics (Google Analytics)
We use Google Analytics 4 (Google Ireland Ltd) in Consent Mode to understand how many people visit the site and which pages are useful, so we can report the reach of the project to the European Union and the Greek National Agency. Before you choose, and if you reject, Google Analytics sets no cookies and receives only cookieless signals without identifiers (page, time, type of device); GA4 does not store IP addresses (legal basis: legitimate interest, Art. 6(1)(f) GDPR). Only if you accept does it use cookies to recognise repeat visits (legal basis: consent, Art. 6(1)(a) GDPR). You can change your choice at any time with in the footer.
4. Server logs
Our hosting provider records IP address, browser type, pages requested and timestamps for security and troubleshooting (legal basis: legitimate interest, Art. 6(1)(f) GDPR). Logs are kept for up to 30 days.
5. Storage in your browser
The site remembers your language, your choice about statistics and the items you tick in the packing checklist in your browser’s local storage. This information stays on your device and is not sent to us. Fonts and images are served from this website; partner websites and social media open only if you click their links.
6. Photos and videos of participants
Images of project participants are published only with their written consent (or that of a parent or guardian for minors). If you appear in a photo and want it removed, write to maniatakos.d@amazingyouth.gr.
7. Who receives data
Our hosting provider (Papaki, Greece), Google (storage of applications and statistics), the partner organisation responsible for your country (applications from that country only) and, for selected participants only, the Greek National Agency I.NE.DI.VI.M. and the European Commission, as required for Erasmus+ reporting. We do not sell any data. Google may process data in the USA under the EU-US Data Privacy Framework.
8. Your rights
You have the right of access, rectification, erasure, restriction, portability and objection, the right to withdraw your consent, and the right to lodge a complaint with the Hellenic Data Protection Authority (www.dpa.gr). Write to maniatakos.d@amazingyouth.gr.

We may update this policy; the date above shows the latest version.
